What is the purpose of the processing?
Personal data is collected for the purpose of organizing and documenting events.
Furthermore, personal data is processed for the purpose of promoting the university and individual events.
Your attendance is recorded at some events. This is used to prepare the intellectual capital report for the BMBWF as well as documentation for third-party funded projects.

Who receives my personal data?
Personal data that is necessary for the organization of an event is primarily processed by the Communication and Fundraising Department. Otherwise, event organization data as well as photos and videos are usually processed by the organizational unit holding the event.

What happens to event photos varies from event to event. Appropriate notices are displayed at every event where event photography takes place. These notices indicate the social media channels on which the event photos are intended to be published. These channels can be

If you do not wish photos to be taken of you at an event, please inform the event photographer accordingly.

What categories of data are processed?
Data may be processed as part of the event organization. The information that is processed varies depending on the type of event. This may involve the following information:

First name and surname
Date of birth
Your title
Matriculation number
Date of birth
E-mail address
Your address
Telephone number
Data of an award certificate
IBAN
Allergies

The following are processed as part of event photography:
Image recordings
Video recordings without sound
Video recordings with sound

What is the legal basis for processing my data?
Depending on the event, the processing of personal data is necessary to varying degrees in order to be able to hold an event. With regard to event organization, processing is therefore usually carried out on the legal basis of the performance of a contract or the implementation of pre-contractual measures in accordance with Art. 6 para. 1 lit. b GDPR. The legal basis for the taking and publication of event photos is the legitimate interest pursuant to Art. 6 para. 1 lit. f GDPR.

What are the legitimate interests on the basis of which personal data is processed?
Event photography serves the legitimate interest of PLUS in documenting events.

How long will my data be stored?
Personal data that is processed as part of the event organization will be deleted after the event has taken place.
If consent is obtained, it will be stored for a period of 3 years.

How can I prevent photos being taken of me?
We only have event photography carried out by professional photographers. They are particularly sensitized and will not take any photos of you if you do not want them to.

I can be seen in an event photo that has been published on social media. What can I do if I do not want this?
If the processing is based on consent, this consent can be withdrawn. The photo will then be deleted.
